To avoid unnecessary work, HealthSource Clarity checks for duplicate requests when a request is:
o Submitted from Logging
o Opened for Fulfillment
If the request you're working on looks like it may be a duplicate of another request, you can either abandon the new request or continue processing it.
To qualify as potential duplicates, requests must share ALL of these values:
o Site
o Requester
o Patient Last Name (completed match)
o Patient First Name (first letter match)
o Patient DOB or SSN
The duplicate checking process looks “back” 90 days for possible matches. It will NOT find a possible duplicate request that was entered more than 90 days earlier, even if all of the criteria match.
We do not check for duplicates among requests that were:
o Canceled (deleted);
o Closed because we sent Correspondence to the requester.
We don't run a duplicate check for requests from PAYD (Direct Payor) requesters.
When a request is created through the Express ROI workflow, we check for duplicates during Logging only.
The Potential Duplicates screen appears when a request is submitted from Logging or opened for Fulfillment and matches the criteria described above.
Use the MRN and Service Date columns to find requests for the same patient but for different encounters. These requests might appear to be duplicates based on the Patient Name and DOB / SSN, but they’re really separate, valid requests. For example:

In the above example, the different MRN and Dates of Service show that the requests apply to two different encounters and are therefore not duplicates of each other.
We do NOT check for possible duplicates as you log a Pull List.
We DO check when a request that was created from a Pull List is opened for Fulfillment.
