Site Preferences

Group Administrators can define site-level settings that determine if and how requests:

o       Flow through an approval cycle;

o       Can be escalated for closer attention by a supervisor;

o       Allow editing of Correspondence;

o       Use custom data entry fields.

These settings are made on the Site Preferences page, accessed from the Administration option on the Menu.

Open the Site Preferences page

1.          From the Menu, select Administration.

2.          On the Administration screen, click Site Preferences.

3.          Enter the Site Number in the Sites field and select the appropriate match.

General Preferences

Description

Approval For Fulfillment

Approval required before the Medical Records can be attached.

Approval For Delivery

Approval required before the Medical Records are sent to the requester.

Enable Due Date Management

Automatically determines the Due Date for some requests..

Escalation

Enables the Escalate option during Fulfillment.

Read-only Correspondence

Disables the Edit option for Correspondence.

When this option is disabled, Other is not available as a Reason on the Create Correspondence screen.

Ciox Record Sets

When enabled, the site takes advantage of pre-defined Record Sets for specific Requester Types / Reasons for requests.

Setting

Description

Logging / Fulfillment

Where the data entry field(s) will be displayed.

To show the same field on the Logging and Fulfillment screens, you must configure it separately for both.

Display

The field will be displayed on the data entry screen,.

Required

The field must be completed before the request can be submitted from the Logging or Fulfillment screens.

We suggest making the field required for BOTH the Logging and Fulfillment steps.

If it’s only required during Logging, a CSR could clear the value during Fulfillment and leave it blank.

Gender

When enabled, choices are:

o       Male

o       Female

o       Unidentified

SSN

You can specify the required format and how the numbers will be displayed on the Request screen:

o       ***-**-**** (no numbers displayed)

o       ***-**-NNNN (only last four digits displayed)

o       NNN-NN-NNNN (all digits displayed

MBI

Medicare Beneficiary Identifier

Date of Birth

Set to Display by default and cannot be changed, but you can make it Required.

Due Date

Set to Display by default and cannot be changed, but you can make it Required.

NPI

When this option is displayed and/or required, the NPI Lookup section appears on the Request screen for Logging and Fulfillment.
