Capture Medical Records

1.      Select a request with a Request Status of:

a.      Ready to Fulfill

b.      Fulfillment Exception

c.       Fulfillment User Hold

d.      Pending

e.      Fulfillment Exception

2.      Use the Patient Information fields to identify the patient whose Medical Records have been requested. You can change these fields if needed.

3.      Look in the Medical Information section for guidance on the Record Types to be captured.

4.      Add the Medical Records to the request.

a.      Scan

b.      Attach

c.       Print from file

5.      If some or all of the records cannot be retrieved:

a.      No records retrieved: Create Correspondence to explain the issue to the requester.

b.      Some records retrieved: Use the Indicate Reasons for Records Not Retrieved options.

6.      Add payment / billing information to the General Information section if appropriate.

7.      Review the images.

a.      Use the Move, Rotate, and Delete commands to make sure the captured Medical Records are in the right order, readable, and reflect the requirements of the Request Letter.

b.      Click a thumbnail, hold down the SHIFT key, and click another thumbnail to select a range of pages (for example, pages 7 through 20).

c.       Hold down the CTRL key while you click thumbnails to select multiple pages that are not in a continuous range (for example, pages 1, 3, 8, and 15).

8.      Click the Retrieved checkbox for the requested Record Types that you have captured.

9.      Verify the Medical Records Page Count values in the Medical Information section. You can change the allocation of pages between Electronic, Paper, and Microfilm,  as long as the number of Total Pages is correct.

10.   Click the appropriate command:

a.      Submit and Next sends the request for back-end processing and fetches a new one.

b.      Submit and Close sends the request for back-end processing and returns you to the Request Search page.

c.       Save and Close retains all data  added to the request and returns you to Request Search. Any Medical Records that were already attached will be transmitted to Ciox Health.

During Fulfillment, you can also:

o       Place a request on hold

o       Flag a request as an Exception

o       Pend a request

o       Escalate a request (if supported)
